How to Turn a WhatsApp Brief Into a Professional Quotation

Most small contracting jobs start as a WhatsApp message. Here is a repeatable way to turn that into a document you can send.
For most small and mid-sized contractors, the first contact about a job is a WhatsApp message. Sometimes photos. Often a voice note. Occasionally a screenshot of a drawing. Then it sits in the chat while other jobs take priority.
Step one: capture it out of the chat immediately. The single biggest cause of lost quotations is that the information never leaves WhatsApp. Have one place — a spreadsheet row, a form, a folder — where every inquiry lands within the hour it arrives.
Step two: fill the standard gaps. WhatsApp briefs are almost always missing the same things: exact area, site address, existing condition, access restrictions, working hours, and deadline. Have a fixed reply you send back asking for them. It takes one message and saves a site visit.
Step three: convert photos into a scope list. Go through the images and write down every item you can see that needs work. This is the step where scope gets missed — usually the unglamorous items like disposal, making good, and protection of adjacent areas.
Step four: price from your rate table, not from memory. Pricing from memory is how contractors quote the same work at three different prices across three months. A maintained rate table fixes this permanently.
Step five: issue a proper document. Not a WhatsApp message with a number in it. A formatted PDF with your header, itemised scope, exclusions, terms and validity. The difference in how clients respond to a proper document versus a chat message is significant, particularly on jobs above a few thousand dollars.
This process takes under an hour once the rate table exists and the intake habit is established. It is also the exact sequence that can be automated later — which is easier if you have already done it manually enough times to know where the judgement calls are.
